QUICKBOOKS + CERTIFIED PAYROLL
QuickBooks certified payroll: where PaidReady fits
Already using QuickBooks for payroll? You do not need to replace it to evaluate PaidReady. The useful question is how your team prepares, reviews and retains each certified payroll report after payroll has been run.
Can QuickBooks generate a certified payroll report?
Yes. Intuit's current help pages list QuickBooks Online Payroll Premium and Elite and describe generating a downloadable certified payroll spreadsheet. Do not assume every QuickBooks subscription includes it; check your account's features with Intuit.
What Intuit's documented workflow asks you to do
Intuit describes setting up projects and pay types, entering hourly rates and manually tracking qualified overtime when custom overtime rates are used. Its report guide then describes downloading a spreadsheet, reviewing it, completing additional project and worker information, and signing the Statement of Compliance.
Those help pages do not describe an automated comparison against a wage determination. That is a statement about the documentation, not proof that a particular QuickBooks edition lacks a feature. Assess the version you use rather than relying on a blanket comparison.
What PaidReady adds around your payroll export
PaidReady imports a CSV and lets you save the column mapping, review matches and keep classifications connected to the selected wage-determination version. ReadyCheck findings include the rule and evidence behind the result. The exception workflow adds an assignee, review activity and a correction history.
You prepare the WH-347 from reviewed payroll records, confirm reporting facts, and sign through an explicit workflow. Signed documents and subsequent corrections remain distinct records. This is useful when the work extends beyond generating a spreadsheet into coordinating review across a team.
A CSV workflow, not a direct QuickBooks integration
PaidReady does not connect directly to QuickBooks or automatically synchronize payroll. Use an appropriate CSV export, inspect its columns and preview the mapping. A generated WH-347 spreadsheet is not automatically a compatible payroll import file. Check a representative export before committing to a process.
Do not include Social Security numbers or bank details in a test file. Use sample data first, then review your own permitted payroll fields and project information. QuickBooks remains your payroll system; PaidReady handles the preparation and review workflow described here.
Which workflow should you choose?
Stay with your existing process if its report, review controls and record retention already meet your needs. Consider PaidReady if your team needs a shared exception queue, repeatable import mappings, connected project records and signing history. Compare those tasks using the same payroll week rather than comparing feature names alone.
- Can the export provide the daily hours and classifications you need?
- Can reviewers trace a finding to its source?
- Can you keep the signed report separate from a later correction?
- Does the recipient accept the output and delivery method?
Compare the complete cost
PaidReady is a separate subscription and does not replace your QuickBooks bill. Contractor costs $49/month or $490/year for one company, five active projects and three login seats. Business costs $99/month or $990/year for 25 active projects and ten seats. There is no per-worker fee. Check current pricing and trial terms before subscribing.
PaidReady is independent of Intuit. QuickBooks is a trademark of Intuit Inc.; mentioning it does not imply endorsement or a direct integration.

PaidReady records the facts these rules depend on — determination versions by date, classifications, hours by day, fringe and apprentice facts — and reviews them with explainable checks before you prepare and sign the WH-347. It does not decide which laws apply to your project and does not replace your payroll provider.
